What reporting options are available for sales orders?

How do these reports differ and when do you use each one?

List Sales Orders

This is one of the reporting functions that is used the most in Fincon Accounting due to what information it gives you. It shows you which orders are still in progress and gives you the status of each order - helping you to determine where in the process the order currently is and helps you to determine what to do next.

Sales Order Analysis

This report displays an analysis of outstanding orders within a specific date range, giving you insight into the total value per inventory item linked to outstanding sales orders. This report can also be set up to display the value of the items on sales orders, per debtor account.

Query Sales Order

This report displays the original, delivered, and outstanding quantities of items on a specific sales order, helping you to determine what has been processed and what still needs to be done with the specific sales order.

Sales Order/Period

This report displays a list of all sales orders within a specified date range, depending on the parameters you set up the list can display the subtotals of sales orders per sales rep, debtor accounts, stock items, or stock types.

Sales Order Info

This report displays a list of sales orders based on their status, showing you where in the process the order currently is.

Outstanding Sales Orders

This report displays a list of sales orders that have not been invoiced yet.

List picked sales orders

This report displays a list of items in a specified location that are picked on sales orders.

List unpicked sales orders

This report displays a list of sales orders containing unpicked items.

Generating sales order reports

List Sales Orders

Navigate to the correct window

  1. Navigate to Orders Sales Orders / List Sales Orders.

Specify the search options

  1. Select the required display option in the Display Options group.
  2. Select the required order in which the list must be displayed from the Sort Options group.
  3. Select which order type should be listed in the Order Type group.
  4. Select the stock location to search in from the Location dropdown list.
  5. Enter what to search for in the Positioning Value text box.

Generate the list

  1. Click the OK button.

Print the orders

This step is optional.
  1. Click on the order you want to print and press F3 on your keyboard. Some keyboards, such as those on laptops, require you to press Fn-F3
  2. Click the Print button.
  3. Specify the print options.
  4. Click the OK button.
You also have the buttons at the bottom of the screen to Select All orders, Unselect All orders, Select From specific orders, or Unselect From specific orders to make your printing selection easier.
You can print the specific sales orders you have selected separately as well, this will be done in the Query Sales Order format.

Navigate to the correct window

  1. Navigate to Orders / Sales Orders / Sales Order Analysis.

Set the report parameters

  1. Select the appropriate stock location from the Location dropdown list.
  2. Enter (or select) the appropriate customer account in the Account text box, if you so wish.
  3. Enter the appropriate date range in the From Date and To Date text boxes.
  4. Select the appropriate order you wish the sales orders to be displayed from the Order Type group.
  5. Select how you would like the orders to be displayed from the Display Options group.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Query Sales Order

Navigate to the correct window

  1. Navigate to Orders Sales Orders / Query Sales Order.

Call up the appropriate sales order

  1. Enter the appropriate sales order number in the Order Number text box.

Print the sales order

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Specify the report parameters

  1. Enter the appropriate date range in the From Date and To Date text boxes. 
  2. Select the appropriate location from the Location dropdown list.
  3. Select the appropriate option in the Date Options Group.
  4. Select the appropriate option in the Order Options group.
  5. Select the appropriate option in the Subtotal Options group.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Navigate to the correct window

  1. Navigate to Orders / Sales Orders / Sales Order Info.

Specify the report parameters

  1. Enter the appropriate date range in the From Date and To Date text boxes.
  2. Enter or select the appropriate rep code in the Rep Code text box, if you so wish.
  3. Enter or select the user that created the sales orders in the Entered By text box, if you so wish.
  4. Enter or select the user that completed the sales orders in the Completed By text box, if you so wish.
  5. Select which sales orders should be included based on their status in the Order Status group.
  6. Select the appropriate stock location from the Location dropdown list.
  7. Select the type of orders you want to be listed from the Order Type group.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Outstanding Sales Orders

Navigate to the correct window

  1. Navigate to Orders Sales Orders / Outstanding Sales Orders.

Enter the report parameters

  1. Enter the appropriate date range in the From Date and To Date text boxes.
  2. Enter (or select) the appropriate rep code in the Rep Code text box, if you so wish.
  3. Select the sales order location to search in from the Location dropdown list.
  4. Select the sales order type in the Order Type section.
  5. Select whether you want to include the debtor name in the Print Options section if you wish to print the list of outstanding sales orders, otherwise, leave the option unticked.

Generate the report

  1.  Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

List picked sales orders

Enter the report parameters

  1. Enter (or select) the appropriate item number in the Item Number text box, or leave blank for all.
  2. Select the sales order location to search in from the Location dropdown list.

Generate the report

  1.  Click the Accept button.

  1. Enter (or select) the appropriate account number in the Account text box, if you so wish.
  2. Enter (or select) the appropriate item number in the Item Number text box, or leave blank for all.
  3. Select the sales order location to search in from the Location dropdown list.

Generate the report

  1.  Click the Accept button.

Print the report
