What reporting options are available for purchase orders?

How do the various reporting options differ from each other and when should you use each one?

List Purchase Orders

This report displays outstanding purchase orders, showing you how much of an item is on order, how much you have in stock and how much is actually available. This report is best used for cash flow and stock planning.

Purchase Order Transactions

This report displays a list of transactions per inventory item, you can see when it has been ordered and whether it has been received. This report works well to check whether your purchases are correct.

List Purchases/Sales Order

This report shows you what has been ordered for the purpose of which sales orders.

Purchase Orders not Linked

This report shows you what has been ordered that is not linked to sales orders, in other words, what has been ordered for stock. This helps you to manage stock movement.

Purchase Order Info

This is a great management report. You have a full view of your customer's order details as well as your supplier's details on one screen. You're able to see what has been ordered from who, when, whether it has been delivered and for who it has been ordered.

Purchase Order Delivery Info

This report displays the date of the purchase orders as well as the date they were received on, helping you to determine the average lead time, giving you an indication of how efficient your procurement process is.

Query Purchase Order

This report displays the original, delivered and outstanding quantities of items on a specific purchase order, helping you to what still needs to be done with the specific purchase order.

Navigate to the correct window

  1. Navigate to Orders Purchase Orders / List Purchase Orders.

Set the report parameters

  1. Select the appropriate location from the Location dropdown list.
  2. Enter (or select) the appropriate creditor account in the Account text box.
  3. Select the appropriate option from the Order Type group.
  4. Selects the appropriate option from the Options group.
  5. Select how you want the report to be displayed from the Display group.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Navigate to the correct window

  1. Navigate to Orders Purchase Orders / Purchase Order Transactions.

Call up the appropriate inventory item

  1. Enter (or select) the appropriate item in the Item Number text box.
  2. Select the appropriate stock location from the Location dropdown list.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

  1. Navigate to Orders Purchase Orders Purchase Order Info.

Set the report parameters

  1. Enter the appropriate date range in the From Date and To Date text boxes.
  2. Enter (or select) the appropriate user in the Entered By text box, if you so wish. 
  3. Select which purchase orders should be included based on their status from the Include Options group.
  4. Select what type of purchase orders should be included from the Order Options group.
  5. Select the appropriate stock location from the Location dropdown list.

Generate the report

  1. Click the Accept button.

Print the report

This step is optional.
  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

  1. Enter (or select) the appropriate creditor account number in the Account text box.
  2. Enter the appropriate date range in the From Date and To Date text boxes.

  1. Click the Print button.
  2. Specify the print options.
  3. Click the OK button.

Call up the appropriate purchase order

  1. Enter (or select) the appropriate purchase order number in the Order Number text box.

Print the order

  2. Specify the print options.
  3. Click the OK button.
