Creating general journals

What kind of journals can be processed?

There are 3 types of journals you can process in Fincon Accounting namely:

Can general journals be imported?

A normal journal cannot be imported in bulk, but you are able to import the journal's line items by clicking the Import button. 

The import file must be in CSV format and must contain the following columns:

  • Account number
  • RefDoc
  • Remark
  • Project number (if applicable)
  • Department (if applicable)
  • Local amount
  • Foreign amount

Can a general journal be converted into a standard journal?

No, it cannot. A standard journal needs to be set up and then processed as a normal journal in the Enter Journal window and not the other way around. See how to set up and process a standard journal here.

How are general journals processed?

Navigate to the correct window

  1. Navigate to Ledger / Journals / Enter Journal.

Enter the journal's general information

  1. Enter the journal date in the Date text box
  2. Enter the journal's description in the Description text box.
  3. Select the journal period from the Period dropdown list.
  4. Select the preferred option for the default value to be entered in the remark field when the account number is entered.

Enter the journal line items

  1. Enter (or select) the account number in the ACCOUNT column.
  2. Enter a reference in the REF column.
  3. Change the entry in the REMARK column, if required.
  4. Enter (or select) a project for the line item in the PROJECT column, if required.
  5. Enter (or select) a department for the line item in the DEPT column, if required.
  6. Enter the entry amount in the LOCAL AMOUNT and FOREIGN AMOUNT column, where required.

Process the journal

  1. Make sure that the Journal Balance is 0.
  2. Click the Accept button.
  3. Print the journal by specifying the print options and clicking the OK button, or click the Cancel button to close the window.
