Creating archive journals

Archive journals allow you to enter journals in period 12 of the latest archive year, in other words, only in the most recent archive.

Archive journals are limited to balance sheet accounts.

Processing an archive journal

Navigate to the correct window

  1. Navigate to Ledger / Journals / Enter Archive Journal.

Enter the journal's general information

  1. Enter the journal date in the Date text box
  2. Enter the journal's description in the Description text box.
  3. Select the journal year from the Year dropdown list.
  4. Select the journal period from the Period dropdown list.
  5. Select the preferred option for the default value to be entered in the remark field when the account number is entered.

Enter the journal line items

  1. Enter (or select) the account number in the ACCOUNT column.
  2. Enter a reference in the REF column.
  3. Change the entry in the REMARK column, if required.
  4. Enter (or select) a project for the line item in the PROJECT column, if required.
  5. Enter (or select) a department for the line item in the DEPT column, if required.
  6. Enter the entry amount in the LOCAL AMOUNT and FOREIGN AMOUNT column, where required.
You can only enter ledger accounts in an archive journal.

Process the journal

  1. Make sure that the Journal Balance is 0.
  2. Click the Accept button.
  3. Print the journal by specifying the print options and clicking the OK button, or click the Cancel button to close the window.
