Editing an existing document layout

Fincon Accounting offers an array of existing document layouts, from a customer invoice to a CRO. You can use these document layouts as is or edit them to your liking.

This guide explains how to edit an existing document layout within Fincon Accounting, like for example how to reposition an image or barcode that you have added to the document.

The following items and fields can be edited in a document:

  1. Image
  2. Text
  3. Barcode
  4. Header fields
  5. Detail fields
  6. System fields
What are variable fields?

Header – Details pertaining to the document as a whole, e.g. document number, account, and document total.
Detail – Details pertaining to the individual item lines, e.g. item number, item quantity, and line total.
System – Details pertaining to your company and additional system information, e.g. company name, company VAT number, and the date the document is printed.

Navigate to the correct window

  1. Navigate to System / Printing and Utilities / Form Layouts / Form Designer.

Select the document layout

  1. Click the Open button.
  2. Select the appropriate document layout from the dropdown list.
  3. Select the layout name from the Layout Name dropdown list.
  4. Click the Accept button.

Editing an image

Move image

  1. Right-click the red square in the top left-hand corner of the image and select the Move option.
  2. Place the image where you desire.

Edit Image

  1. Right-click the red square in the top left-hand corner of the image and select the Edit option.
  2. Edit the width and height of the image in the Width (mm) and Height (mm) text boxes.
  3. Select your desired options in the Horizontal Align and Vertical Align categories.
  4. Select the Preserve Width/Height Ratio checkbox if you want to preserve the width and height ratio of the image.
  5. Click the Accept button.

Delete Image

  1. Right-click the red square in the top left-hand corner of the image and select the Delete option.

Editing text

Move Text

  1. Right-click any part of the text block and select the Move option.
  2. Place the text where you desire.

Edit Text

  1. Right-click any part of the text block and select the Edit option.
  2. Amend the text as desired in the Enter Text text box.
  3. Select the Align first character, last character or all characters to grid checkbox based on your requirements.
  4. Select the Strikeout checkbox if the text should be struck out.
  5. Select the Underline checkbox if the text should be underlined.
  6. Select a different text colour from the Text Colour colour palette if you so wish.
  7. Select a background colour from the Background Colour palette if you so wish.
  8. Select your desired option in the Print Text On group.
  9. Click on the Select Font button to change the text font if you so wish.
  10. Select your desired option in the Anchor group.
  11. Click the Accept button to save the changes.

Delete text

  1. Right-click any part of the text block and select the Delete option.
Snap to grid

By right-clicking on a text block, the option of Snap to Grid will appear. Click on this to open a window that states the following:

Select one of the following characters to grid alignment options.

The four options are as follows:
First character – this option moves the first character of the text block towards the nearest grid line.
Last character – this option moves the last character of the text block towards the nearest grid line.
All characters – this option places each character in its own grid box.
None – this option makes the text block not snap to any grid.

Editing a barcode

Move barcode

  1. Right-click the red square in the top left-hand corner of the barcode and select the Move option.
  2. Place the barcode where you desire.

Edit barcode

  1. Right-click the red square in the top left-hand corner of the barcode and select the Edit option.
  2. Enter a prefix and postfix in the Prefix and Postfix text boxes if you so wish.
  3. Select a barcode type from the Barcode Type dropdown list.
  4. Enter a barcode height in the Barcode Height (mm) text box if you so wish.
  5. Select the Print Barcode Text checkbox if you want the barcode text to be printed.
  6. Select the Do Not Print Decimals checkbox if you do not want the decimals to be printed.
  7. Click on the Select Font button to change the font if you so wish.
  8. Select the Add Checksum checkbox if you so wish.
  9. Select your desired option from the Print Barcode On group.
  10. Click the Accept button to save the changes.

Delete barcode

  1. Right-click the red square in the top left-hand corner of the barcode and select the Delete option.

Editing header fields

Move header field

  1. Right-click any part of the header field and select the Move option.
  2. Place the header field where you desire.

Edit header field

  1. Right-click any part of the header field and select the Edit option.
  2. Select your desired option in the Field Justification group.
  3. Select your desired option in the Grid Alignment group.
  4. Select a different header colour from the Text Colour colour palette if you so wish.
  5. Select a background colour from the Background Colour palette if you so wish.
  6. Select your desired option in the Print Text On group.
  7. Enter a field length limit in the Field Length Limit text box if you so wish.
  8. Select the Do Not Print Decimals checkbox if decimals should not be printed.
  9. Select the Strikeout checkbox if the field should be struck out.
  10. Select the Underline checkbox if the field should be underlined.
  11. Click on the Select Font button to change the font if you so wish.
  12. Click the Accept button to save the changes.

Delete header

  1. Right-click any part of the header field and select the Delete option.

  1. Right-click any part of the detail field and select the Move option.
  2. Place the detail field where you desire.

  1. Right-click any part of the detail field and select the Edit option.
  2. Select your desired option in the Field Justification group.
  3. Select your desired option in the Grid Alignment group.
  4. Select a different header colour from the Text Colour colour palette if you so wish.
  5. Select a background colour from the Background Colour palette if you so wish.
  6. Select your desired option in the Print Text On group.
  7. Enter a field length limit in the Field Length Limit text box if you so wish.

Remember to save your document once you have made your desired changes.
