Creating a delivery note for an invoice

It is important to note that there are no check and balances when it comes to delivery notes, it is merely a document creation function. Thus it is important to keep track of your deliveries and use the documentation to your benefit.

There are two ways in which delivery notes can be created for invoices, through the Enter Invoice Delivery Note menu item in Fincon Accounting or by creating a delivery note document layout and making that document layout an accompanying document to your customer invoice so that it prints every time you print an invoice.

These are the steps to make the delivery note document an accompanying document to your customer invoice:

  1. Navigate to System / Printing and Utilities / Form Layouts / Form Designer.
  2. Click the Open button.
  3. Select the appropriate document layout from the dropdown list, this would be the invoice layout you use.
  4. Select the layout name from the Layout Name dropdown list, this would be the invoice you use.
  5. Click the Accept button.
  6. Click the Properties button.
  7. Enter (or select) the delivery note layout name in the Accompanying layout name text box.
  8. Click the Accept button.
  9. Click the Save button.

Navigate to the correct window

  1. Navigate to Inventory / Delivery Notes / Enter Invoice Delivery Note.

Call up the appropriate invoice

  1. Enter the appropriate invoice number in the Invoice No text box.

Enter the delivery note details

  1. Enter (or select) the appropriate area code in the Area text box.
  2. Enter the delivery note details like the delivery detail, delivery instructions and so on.
  3. Make sure to enter the delivery quantity in the DEL QTY column for the appropriate items.

Save the delivery note

  1. Click the Accept button.
  2. Print the delivery note by specifying the print options and clicking the OK button or click Cancel to close the window.
