Scanning a POS invoice

The rights to what is allowed to be changed when scanning a POS invoice can be set in Company Parameters / Pos Users. This screen is only applicable to scanned invoices, so any changes made here will only be applied to the scan invoice function for a specific till and user.

If you have a supervisor password you will be able to access these rights automatically no matter what the settings mentioned above are, so for example you will be able to change the quantity of the items, or change the unit price and so on within the Scan Invoice window.

Navigate to the correct window

  1. Navigate to Debtors / Point of Sale / Scan Invoice.

Enter the invoice details

  1. Enter the invoice date in the Date text box.
  2. Enter the source location in the Location text box.
  3. Enter (or select) the appropriate rep code in the Rep Code text box.
  4. Select a marketing source from the Marketing dropdown list, if applicable.
  5. Enter a customer reference in the Customer Ref text box, if applicable.

Scan the items

  1. Enter or scan the item number or barcode in the Item text box.
  2. Press Enter on your keyboard.
  3. Repeat for all items.
If any changes need to be made you can click on the relevant button on the right of the screen, if you do not have the rights to make these changes a supervisor will need to come and enter a password in order for the changes to be made.

Save the invoice

  1. Click the Accept button.

Enter the payment details

  1. Enter the amount tendered in the Amount Tendered text box or press F3 on your keyboard to copy the invoice amount.
  2. Select the payment type from the Payment Type dropdown list.
  3. Enter the cheque number in the Cheque Number text box, if applicable.
  4. Enter the cheque's effective date in the Date text box, if applicable.
  5. Enter the credit card number in the Credit Card Number text box, if applicable.
  6. Enter a comment in the Comment text box, if applicable.
  7. Edit the customer name in the Name text box, if required.
  8. Enter a discount amount in the Discount Allowed text box, if required.

Save the payment

  1. Click the Accept button.
  2. Print the invoice by specifying the print options and clicking the OK button, or click the Cancel button to close the window.
