Creating sales orders

What is the minimum required information needed to create a sales order?

  • When creating a sales order from an existing quotation you need to enter the quotation number.
  • When creating a sales order without a quotation you need to enter the debtor account number.
  • You need to enter a sales representative code.
  • When creating a sales order without a quotation you need to add the inventory items.
  • You need to enter the appropriate stock location.

Sales orders can be created in two ways:

Creating a sales order from a quotation

Navigate to the correct window

  1. Navigate to Orders Sales Orders / Enter Sales Order

Call up the appropriate quotation

  1. Enter (or select) the quotation number in the Quote No text box.

Make the required changes

If you wish to make changes, the main changes will be the following:

  • Adding additional items.
  • Removing existing items.
  • Making changes to existing items.

You can make changes to all text boxes and columns with black text, depending on how you have customised your active text in the Customize window.

Please note that the following three steps and sub-steps are all optional. If you are happy with the items that are on the sales order you can skip these steps and move on to generating the sales order.

Add additional items
  1. Enter (or select) the item number of the appropriate item in the first open line in the ITEM NUMBER column. 
  2. Enter the quantity of the corresponding item in the QUANTITY column.
  3. Change the unit price of the corresponding item in the PRICE EXCL column, if so required.
  4. Change the tax code of the corresponding item in the TC column, if so required.
Remove existing items
  1.  Select the item that you wish to remove and press the Delete button on your keyboard.  
Make changes to existing items

Please note that the following steps are optional.

  1. Change the quantity of the appropriate item in the QUANTITY column or;
  2. Change the unit price of the corresponding item in the PRICE EXCL column, if so required or;
  3. Change the tax code of the corresponding item in the TC column, if so required. 

Generate the sales order

  1. Click the Accept button.
  2. Change the required information on the Enter Message window and click the Accept button.
  3. Print the sales order by specifying the Print Options and clicking the OK button, or click the Cancel button to close the window. 

Creating a sales order without a quotation

Navigate to the correct window

  1. Navigate to Orders Sales Orders / Enter Sales Order.  

Enter the sales order details

  1. Enter (or select) the account number of the appropriate debtor in the Account text box.  
  2. Enter a customer reference in the Customer Ref text box, if so required.
  3. Enter (or select) the rep code of the appropriate sales rep in the Rep Code text box.

Enter the inventory items

  1. Enter (or select) the item number of the appropriate item in the first open line in the ITEM NUMBER column.  
  2. Enter the quantity of the corresponding item in the QUANTITY column.
  3. Change the unit price of the corresponding item in the PRICE EXCL column, if so required.
  4. Change the tax code of the corresponding item in the TC column, if so required.

Generate the sales order

  1. Click the Accept button.
  2. Change the required information on the Enter Message window and click the Accept button.
  3. Print the sales order by specifying the Print Options and clicking the OK button, or click the Cancel button to close the window.
